The European Forest Institute – EFI – is looking for an Administrative Officer to reinforce the FLEGT and REDD Unit’s Administration team

The European Forest Institute (EFI) is an international organization with 23 European member countries, and over 120 Associate Member institutions. EFI’s Headquarters is located in Joensuu, Finland. EFI has several Regional Offices across Europe, a FLEGT office (Forest Law Enforcement, Governance and Trade) in Kuala Lumpur, Malaysia, and is establishing an office in Brussels.
EFI hosts the EU FLEGT Facility and the EU REDD Facility, which support partner countries, the European Commission, EU Delegations and EU Member States in the implementation of the EU FLEGT Action Plan and REDD+ activities.
EFI is looking for an Administrative Officer to reinforce the FLEGT and REDD Unit’s Administration team. The working language of the Institute is English.
Tasks and ResponsibilitiesThe Administrative Officer is a member of the FLEGT&REDD Administration team and provides administrative support to the Unit especially in travel administration and in acting as the personal secretary to the Head/Deputy Head of Unit.
The main duties of the Administrative Officer include the following:
• Travel administration (50%) - Provide support and expertise to the team members on travel arrangements
 - Process travel claims and keep an overall view of the team’s travel schedules and travel expenses
 - Provide user support and training to the team members on the use of travel software
• Personal Secretary to the Head/Deputy Head of Unit (50%)- Manage and maintain the Heads’ calendars and schedules
- Prepare meetings and meeting materials
- Coordinate arrangements for the Heads’ guests
- Produce documentation, presentations and correspondence
Qualifications• Minimum of 3 years working experience in a similar position
• Fluency in spoken and written English and Spanish. Other European languages are an asset
• Basic knowledge on bookkeeping
• Excellent command of MS Office software, good computing skills and a willingness to learn specific IT-solutions (e.g. intranet, software) used at EFI
• Knowledge of travel software is an asset
• Service attitude and flexibility; experience in working in multinational environment is an asset
• Excellent organisational skills, ability to multi-task
• Ability to work under pressure and be flexible as part of a small team
• Secretarial college diploma or a Bachelor’s degree in a relevant field (e.g. business administration)
Duty station The Administrative Officer will be based at the EFI Policy Support Office in Barcelona, Spain.
Employment conditionsThe Administrative Officer will be an EFI staff member. The initial duration of employment will be two years with a possibility of extension.
